Duties and Responsibilities

  • Manage scheduling for company executives and provide reminders about upcoming appointments.
  • Handle correspondence with clients and partners, ensuring clear and professional communication.
  • Prepare, organize, and maintain documents and files to ensure accessibility and confidentiality.
  • Conduct online research for various projects and compile data into comprehensive reports.
  • Perform routine bookkeeping tasks, managing expenses, invoices, and payments.
  • Coordinate logistics for virtual and, if necessary, physical meetings.
  • Provide high-quality customer service by addressing client inquiries and concerns promptly and effectively.
  • Implement systems for efficient workflow and document handling.
  • Assist with project management by tracking deadlines, deliverables, and relevant communications.
  • Maintain social media presence and respond to inquiries or comments on these platforms.
  • Prepare and send out newsletters, press releases, and other promotional materials.
  • Utilize various software tools to maximize productivity (e.g., CRM systems, databases, project management software).
  • Maintain discretion and confidentiality in relationships with all clients.
  • Support the team by facilitating all external or internal communication.
  • Perform any other tasks that contribute to the smooth operations of the company.

Requirements

  • Proven experience as a Virtual Assistant, Office Administrator, or relevant administrative role.
  • Excellent command of the English language, including both verbal and written communication skills.
  • Advanced proficiency in MS Office Suite, particularly Excel, Word, and PowerPoint.
  • Strong organizational skills with the ability to multitask and prioritize work effectively.
  • Attention to detail and problem-solving skills.
  • Experience with online calendars and cloud systems.
  • Familiarity with current technologies, like desktop sharing, cloud services, and VoIP.
  • Experience with online tools and software such as Slack, Trello, and Asana.
  • Basic knowledge of bookkeeping and clerical procedures.
  • Capability to maintain confidentiality of sensitive information.
  • High school diploma; additional qualifications as an Administrator or Executive Assistant are a plus.
  • Ability to work independently in a fully remote environment.
  • Strong internet connection and a dedicated home workspace free of distractions.
